Requirements for Official Visits Abroad
CIIT Faculty members
go on visits abroad for attending meetings, conferences, seminars, workshops etc.
International Liaison Office, Islamabad is fully committed to provide all sorts
of facilitations to our valued colleagues to make their sojourn comfortable and
productive. In order to do so, it is necessary that the following guidelines are
carefully read, so that inconvenience is avoided.
Please ensure that the
following documents (1-9) are ready with you before you process your Visa Applications
with the High Commissions/Embassies.
1. Approval for the proposed visit should be obtained from the
Rector, CIIT in the first instance. The approval should be in writing and should
specifically mention, the purpose, duration, dates, places to be visited and source
of funding, etc;
2. Invitation Letter from the visiting
foreign university / organization;
3. Schedule of the Meetings
/ Conferences /Seminar;
4. Original Machine Readable
Passport. It should be valid for at least six months;
5. Original NADRA National Identity
Card (NIC);
6. Four Fresh Passport Size
Photographs (Not more than six months old);
7. Filled in and Signed Visit Visa
Application form of the concerned country. The relevant application form and guidelines
for filling in the forms should be downloaded from the website of the relevant Embassy/High
Commission;
8. No Objection Certificate (NOC)
from the Registrar’s office/Campus Director for production to the Immigration authorities
at the airport;
9. Visa Facilitation Letter for the
Embassy should be obtained from the Registrar’s office.
Please note that:
(i) The Embassies/ High Commissions
require considerable time for processing the Visa Applications, as such sufficient
margin of time should be kept;
(ii) ILO can facilitate in purchasing
the air tickets from the authorized CIIT Travel agents. Specific dates of travel
should therefore be mentioned. Please keep the used air ticket and stubs of Boarding
Passes with you as the same are required for presentation to the Treasurer’s office
for the adjustment of your Travel expenditure;
(iii) Drawing Advances for the expenditure
and their settlement is the sole responsibility of the individual visiting faculty
member, as such it should be processed by them with the respective Treasurer’s office.
(iv) Hotel bookings, Accommodation
and local travel arrangements should be made by the visitors themselves, in case
it has not been done by the sponsors;
(v) All the visitors should submit
four copies of their visit report, one each to Rector’s office, Registrar’s office,
Treasurer’s office, and ILO.
(vi) In case the visit is being undertaken
by a group, all its members should submit their documents by a specified date.
